Privacy Policy

This draft describes the data flows currently built into this website. It should be reviewed and completed with qualified counsel before production launch.

Information you provide

When you use the inquiry form, we may receive your name, company, business email, phone number, service interest, challenge, budget range, timeline and the language you were browsing in. When you use the appointment assistant, the assistant may process the information you choose to provide in order to respond and manage a requested appointment. If you ask the assistant to pass you to a person, it proposes a short summary for you to read and approve before anything is sent.

Consent we record

When you submit the inquiry form or approve an assistant handoff, we store the fact that you agreed, which page recorded it, the exact wording you were shown, and the time. This is kept so the record of what you agreed to can be produced later rather than reconstructed from memory.

What is stored, and where

Inquiry details you submit through the form — and the short summary you approve when you ask the assistant to pass you to a person — are stored on our server in an operations database so a real person can follow up. The assistant conversation itself stays in a separate conversation store used only to keep the chat in context; it is not copied into the operations record. Internal notes and an audit trail of staff actions are also kept, and internal notes are never shown on the public site or given to the assistant.

Quotes

If a quote is prepared for you, it is stored against your inquiry, along with each version of the amounts shown to you, the date it was published, and whether you accepted or declined it and when. A published quote is reachable only through a private link issued to you; the link itself is stored only as a one-way digest, so it cannot be listed or recovered. Publishing a new version or revoking a quote makes its previous link stop working.

Backups

The operations database is exported once a day to a private Cloudflare storage bucket so the records can be recovered if they are lost. Those exports contain the same information described here, including names, email addresses, phone numbers, message text and the audit log, and they are used only for recovery. How long an export is kept is a retention decision that has not yet been set and must be confirmed before launch.

Calendar and service providers

Appointment features are designed to connect with Google Calendar. Cloudflare provides hosting, database, Worker, AI, storage and backup infrastructure. Cloudflare Turnstile protects contact submissions and password sign-in against automated abuse; verification processes technical browser and network information. Any additional inquiry-delivery service must be configured separately and should be identified here before launch.

How information is used

Information is intended to respond to an inquiry, provide a requested service, schedule an appointment and maintain the security and operation of the website. We do not sell personal information.

Retention and security

No automatic deletion of operational records is enabled at present. Retention periods, access controls and deletion requests must be confirmed before launch. The operations back office is reachable only by a single operator account configured on the server, using a password verifier and an eight-hour signed session, and every staff action on a record is written to an audit log. Do not submit sensitive information through the website.
